The True Cost of Owning Is Not the Sticker Price

The number that wrecks these decisions is the purchase price, because contractors set it next to a monthly rental rate and it looks enormous. That is the wrong comparison. What you actually spend to own a machine is the cost of ownership per year, and the sticker price is only the front half of it. Break it into the pieces that accrue on the calendar whether or not the machine turns a bucket.

The ownership side

Depreciation is the value the machine loses while you own it, spread evenly across the years you keep it. In B13, put =(B2-B3)/B4. With the example inputs that is ($68,000 minus $27,200) divided by 5, or $8,160 a year. This is the number that matters, not the purchase price, because the $27,200 you expect at resale is capital you recover.

Cost of capital is the money you give up by tying $68,000 into a machine instead of leaving it in the business or paying down a loan. Averaging the investment across its life, put =((B2+B3)/2)*B5 in B14. That returns ($68,000 plus $27,200) divided by 2, times 8%, or $3,808 a year. If you financed the purchase this is close to your real interest bill. If you paid cash, it is the return that money could have earned elsewhere, and ignoring it is how cash-rich contractors talk themselves into machines they should have rented.

Now total the annual cost of ownership in B15 with =B13+B14+B6+B7+B8. That sums depreciation, cost of capital, insurance, storage, and maintenance to $15,568 a year. This is what the machine costs you every twelve months even if it never leaves the yard.

The rental side and the break-even

Rental is simpler because it is purely variable. Your annual rental cost in B17 is =B9*B10, the monthly rate times the months you actually use it. At 5 months that is $12,000. The number that ends the argument sits in B16, the break-even utilization: =B15/B9. That divides your annual ownership cost by the monthly rental rate and returns 6.49 months. Read it out loud. If this machine works more than about 6.5 months a year, buying is cheaper. Less than that, renting wins. Every rent-or-buy decision you have ever agonized over collapses into that one cell.

The decision flag

The Third Option: Rent With a Purchase Option

The trade-off is real and belongs in the sheet: RPO monthly rates usually run 10 to 20 percent above a straight rental, and the applied credit caps out after a handful of months. So RPO is not free insurance. It is a paid hedge for exactly the case where your break-even math says BORDERLINE.
